These Terms & Conditions set out the agreement between you (the parent/guardian/client) and Julie Sinfield / Dyscalculia Tutor when using my specialist tutoring services.
By completing a registration form and/or starting tuition, you confirm that you have read, understood, and accepted these Terms.
1. About My Services
I provide specialist tutoring in dyscalculia, maths difficulties, and SEND learning needs for children and young people.
Sessions are delivered in person from my private learning space in Patcham, Brighton, unless otherwise agreed.
Tuition is tailored to each learner’s individual needs, strengths, and goals.
2. Registration & Booking
- A completed registration form is required before tuition begins
- Upon registration, a non-refundable deposit will be invoiced
- This deposit secures your child’s place in my tutoring schedule
- The deposit is deducted from your first invoice
- The deposit is only refundable if tuition does not commence due to cancellation by the tutor
3. Trial Period
- The first two lessons are a trial period (can be up 3 depending on the child)
- This allows both parties to ensure the tutoring relationship is appropriate
- Either party may choose not to continue after the trial period
4. Fees & Payment
- Tuition is charged based on a 1-hour session, unless otherwise agreed in writing
- Invoices are issued in advance, usually monthly
- Payment is required within 7 days of the invoice date
- Late payment may result in suspension of tuition until the account is settled
- Persistent late payment may result in termination of services
5. Additional Services
Where agreed in advance:
- School visits: plus reasonable travel time and expenses
- Written reports (parents, schools, professionals)
6. Cancellation & Rescheduling (Client)
To maintain fairness and consistency, the following policy applies:
More than 24 hours’ notice
- Sessions may be cancelled or rescheduled without charge
- One lesson per half-term may be cancelled for illness or holiday without charge
- This one permitted session may be carried forward (where prepaid) or not invoiced (where monthly billing applies)
- Any additional cancellations beyond this allowance will be charged in full
Less than 24 hours’ notice
- Sessions cancelled with less than 24 hours’ notice (or missed for any reason) will be charged in full
- This is because the time is reserved exclusively for your child
Illness on the day
- If a child attends but is considered too unwell to engage, the session will still be charged
Late arrival
- Sessions will still end at the scheduled time
- Missed time due to late arrival cannot be made up
7. Holidays, Term Time & Bank Holidays
- Tuition generally follows school term times (aligned with private school terms unless otherwise agreed)
- Term dates are confirmed at the beginning of each half term
- Holiday sessions may be arranged by mutual agreement
- If a session falls on a Bank Holiday, it will either not be charged or will be rearranged at a mutually convenient time
8. Cancellation by Tutor
- I will aim to provide at least two weeks’ notice for planned absences
- In the case of illness or emergencies, sessions may need to be cancelled at short notice
In these cases:
- No fee will be charged
- The session will be rescheduled or refunded where appropriate
9. Termination of Services
- Clients may end tuition by giving one month’s written notice
- I reserve the right to end tuition immediately if:
- Behaviour is unreasonable or abusive
- There is a safeguarding concern
- The tutoring relationship is no longer appropriate
In such cases, any session in progress will be chargeable.
10. Tutor Responsibilities
I will:
- Plan and deliver personalised dyscalculia and maths support
- Work professionally and in the best interests of each learner
- Maintain an up-to-date DBS check and appropriate professional insurance
- Comply with safeguarding, tax, and data protection requirements
- Not complete homework, coursework, or assessments on behalf of a student
11. Student & Parent Responsibilities
Parents/guardians and students agree to:
- Engage respectfully and positively in sessions
- Support regular attendance and punctuality
- Bring any required materials or agreed resources
- Encourage practice between sessions where appropriate
Parents remain responsible for their child’s welfare outside of tutoring sessions.
12. Learning Progress & Outcomes
While I provide high-quality, professional tuition, I do not guarantee specific outcomes.
Progress depends on many factors, including attendance, engagement, and individual learning needs.
13. Learning Wellbeing & Safeguarding
The wellbeing of each learner is my priority.
- Sessions may be paused if a child becomes significantly distressed
- If appropriate, sessions may be rescheduled or refunded
- I will always act in line with safeguarding best practice if concerns arise
14. Confidentiality & Data Protection
All personal data is handled in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

15. Liability
I am not liable for indirect loss or consequences arising from the use of my services. Tuition is provided in good faith to support learning and development.
16. Entire Agreement
My Terms and Conditions document represents the full agreement between both parties. No verbal or informal agreement applies unless confirmed in writing.
Any changes must be agreed in writing by both parties.
17. Complaints
If you are unhappy with any aspect of my service, please raise this with me directly in the first instance so it can be addressed promptly and professionally.

By completing a registration form and/or attending tuition, you confirm acceptance of these Terms & Conditions.
